What is uni-assist, and what does it do?

uni-assist is the University Application Service for International Students. Think of it as a shared front desk. Hundreds of German universities use it to receive and check applications from people with foreign school and degree certificates, so that each university does not have to work out on its own what a Pakistani FSc or a four-year BS from a HEC-recognised university is worth in German terms.

Its job is verification, not admission. uni-assist reads your certificates, checks they meet the formal criteria, and translates your grades into the German grading system. It does not decide whether you get a place. The university does that. So a clean uni-assist result is a gate you pass through, not an offer.

One thing to fix in your head early. uni-assist e.V. does not work with agents who promise to place you at a German university for a fee. Official information comes only from the universities and from the uni-assist site itself. If a shop in your city claims a special uni-assist connection, that is a warning sign, not a shortcut. Do I even need uni-assist?

Not always. German universities split roughly three ways, and which group yours falls into decides your whole route.

• Full application through uni-assist. You apply to the university inside your My assist account, and uni-assist forwards the checked application.
• VPD procedure. uni-assist checks your documents and issues you a certificate, and you then apply to the university yourself with that certificate attached.
• Direct to the university. Some universities take international applications on their own portal and do not use uni-assist at all.

You cannot guess which one applies. Check the university’s own admissions page and the uni-assist list of member universities for every programme on your shortlist. A single applicant often has to do two of these at once, because they are applying to three universities and two use uni-assist while the third does not.

What is a VPD, and when do you need one?

VPD stands for Vorprüfungsdokumentation, or preliminary review documentation. It is a certificate issued by uni-assist which you submit directly to the university, and it shows which educational certificates were submitted, how uni-assist evaluates them, and how it rates the grade within the German system of grades. In plain terms, it is a one-page verdict from uni-assist that says which of your certificates you submitted, how it rates them, and what your grade converts to in the German 1.0 to 4.0 scale.

You need a VPD when the university asks for one. That is the only rule. The university tells you, and the uni-assist member list tells you. When a VPD is required, your online application in My assist is treated as a request for that VPD. Once your documents are complete, uni-assist issues it to your account, and then the real application happens on the university’s own portal.

This is the step Pakistani applicants most often get wrong. A VPD by itself is not an application to the university. Take the Technical University of Munich as an example. The university states plainly that an application for a VPD via uni-assist alone does not qualify as an application for a degree programme, and an application via TUMonline is always necessary. You do both: request the VPD from uni-assist, then apply through the university and upload the VPD. Miss the second half and you have paid for a certificate that sits in your inbox doing nothing.

The VPD has a shelf life worth knowing. The uni-assist VPD page states it is valid for one year from its date of issue, no matter which semester you select. That means you can start it early, well before your target intake opens, and reuse it. Bachelor and master VPDs are separate documents, though, so request the one that matches the level you are applying for.

How much does uni-assist cost from Pakistan?

The pricing is per course choice, per semester, and it is the same whether your university uses the full application or the VPD procedure. As of 28 September 2026, the uni-assist handling fees page sets the cost at EUR 75.00 for your first chosen course of study in a semester and EUR 30.00 for each additional course, and you pay it whatever the result of the check.

So the total depends on how many programmes you apply to. Here is how it stacks up.

A few things that trip people up. The fee is charged whether or not you are admitted, and even if your documents are found not to qualify, because you are paying for the checking work, not the result. Some universities cover the fee themselves, in which case your selection list in My assist shows the application as free. And the fee resets each semester, so an autumn reapplication after a summer refusal is a fresh EUR 75 for the first course.

Convert with a buffer. At the rupee rates most Pakistani students see, EUR 75 lands well into five figures, and card conversion adds a margin on top. Budget the euro figure plus a cushion, and pay from a card enabled for international euro payments. This is separate from your later costs like the blocked account and the visa fee, so do not let the small uni-assist fee crowd out planning for the large ones.

On payment method, uni-assist accepts card payments and bank transfer inside your My assist account, and the checking clock only starts once the money actually lands with uni-assist, not the moment you click pay. A bank transfer from Pakistan can take several days and sometimes loses a little to intermediary bank charges, which can leave your account short of the full fee and your application on hold. If you pay by transfer, add a small margin so the received amount still covers the fee in full, and keep the payment reference. A card enabled for international euro payments is usually the cleaner option, for the same reason it is with most overseas fees: it clears faster and the amount arrives whole.

How long does it take?

Plan for weeks, not days. The uni-assist VPD page and its deadlines page both put the usual processing time at 4 to 6 weeks, counted from the day uni-assist receives your online application form. The VPD route runs on the same clock. Current processing times published by uni-assist move up and down through the year and are shorter in quiet months, so treat four to six weeks as your safe planning figure rather than the best case.

The deadline that matters is the university’s, and uni-assist adopts it. Your complete application and documents have to be in your My assist account before that date. uni-assist recommends applying at least eight weeks before the deadline so there is time to fix anything missing. For German intakes, many courses close around 15 July for the winter semester and 15 January for the summer semester, but masters and Studienkolleg deadlines are often earlier, so confirm each one.

The application, step by step

1. Build your shortlist and mark, for each programme, whether it uses uni-assist and whether it needs a VPD.
2. Create a free My assist account and search for your universities and courses inside it.
3. Fill in the online application form and select your course or courses.
4. Upload your certificates in the format uni-assist asks for, which usually means certified copies and certified translations.
5. Pay the handling fee. Nothing is checked until the payment reaches uni-assist.
6. Wait for the evaluation. For a VPD, download it from your account when it is ready.
7. If it was a VPD, apply directly to the university and upload the VPD before that university’s deadline.

Notice where the money sits: after you upload, before checking begins. The Freie Universität Berlin says a VPD application is only processed by uni-assist once the fee has been received in the uni-assist account, and uni-assist itself says the fee is due regardless of the result. What documents does a Pakistani applicant upload?

The exact list is set by uni-assist and the university, and it is on your My assist checklist, but for a Pakistani student it usually comes down to these.

• Matric and FSc, or your intermediate certificates and marksheets.
• Your bachelor degree and transcripts, for a masters application.
• Certified translations into German or English where the original is in Urdu.
• Proof of language ability, such as IELTS or a German certificate, if the course requires it.
• Your passport data page.

Certification is where Pakistani applications slow down. uni-assist wants officially certified copies, not plain scans, and translations done by a recognised translator. How is uni-assist different from APS?

Pakistani applicants mix these two up constantly, and they are not the same thing at all. uni-assist sits on the admission side. It checks your certificates so a university can decide whether to offer you a place. APS, the Akademische Prüfstelle, sits on the visa side. It verifies that your documents are genuine, and the German mission needs that verification before it issues a student visa to a Pakistani applicant.

So the two run in parallel, for different readers. One clears your path into the university. The other clears your path into the visa. You may well need both, and neither replaces the other. Timing matters here too, because APS verification has its own processing window, and a student who starts it late can hold an admission letter and still be stuck waiting to apply for the visa.

Common mistakes and how to avoid them

• Treating a VPD as an application. It is not. You still apply to the university separately and attach it.
• Paying for the wrong procedure. Check per programme whether it is a full application or a VPD before you pay.
• Uploading uncertified scans. uni-assist wants certified copies and certified translations, and a plain photo gets rejected.
• Starting late. Four to six weeks of processing plus certification time means you begin months ahead, not weeks.
• Requesting the wrong level VPD. Bachelor and master VPDs are separate, so match the programme.

A worked example with dates

Hassan in Lahore wants a masters in mechanical engineering starting the winter semester. He shortlists three universities. Two use full uni-assist applications, one wants a VPD.

• April. He gets his bachelor documents certified and translated, and starts HEC and APS steps.
• Early May. He opens My assist, adds all three programmes, and uploads his documents.
• Mid May. He pays EUR 75 for the first course and EUR 30 for the second, then EUR 30 for the VPD request, so EUR 135 in total.
• Mid to late June. uni-assist finishes the checks. He downloads the VPD for the third university.
• Late June. He applies to the third university on its own portal and uploads the VPD, comfortably before the 15 July deadline.

He did the slow parts first. Certification and uploads went in with weeks to spare, the fee was paid the day he finished uploading, and he never mistook the VPD for the application. That is the whole game.
